How this website handles information

This statement applies to the public website at va-ss.org. It is separate from the practice's Notice of Privacy Practices, which explains how protected health information is used and disclosed in patient care.

Information submitted through the site

The education registration form collects a professional name, credentials, organization, role, experience level, email address, telephone number, and course selection so the practice can review an enrollment request. It does not collect payment information and must not be used for patient information.

Patient and referral information

The public website does not collect portal passwords, medical records, diagnoses, photographs, medication lists, or referral files. Fillable forms are downloaded to your device; completing a downloaded form does not transmit it to the practice. Submit patient forms by secure fax, through an issued patient portal, or in person. Do not send protected health information to the general email address.

Technical information

The hosting service may process technical information needed to deliver and protect the site, such as an IP address, browser and device type, requested page, referring page, and time of access. The site does not use advertising pixels, session replay, or third-party analytics, and Virginia Surgical Services does not sell website information.

Cookies and local storage

The public pages do not use advertising cookies or cross-site tracking. A browser, hosting provider, downloaded PDF reader, mapping service, or other service you choose to use may apply its own settings and privacy terms.

External services

The site displays Inova's published Fair Oaks campus map and links to Inova, Google Maps, government resources, telephone, and email services. Once you follow an external link, that service controls its own collection and use of information.

Security and retention

Reasonable administrative and technical measures are used to protect the site. No internet service can be guaranteed completely secure. Education registration records are retained as needed to review the request, document follow-up, meet legal obligations, and operate the education program.
